A quote is not a tax invoice and must never be labelled one. When the work is done, the invoice generator builds a tax invoice and checks it against all eight requirements in section 29-70.
Quote or estimate — say which
A quote is an offer at a fixed price. An estimate is your best assessment of what the job will cost, and everyone expects it to move. The label on the document matters less than what the document actually says, so the useful discipline is this: if the figure can change, write down what would change it.
Site conditions you have not seen. Materials at the price on the day. Variations the client asks for once you have started. Those three cover most of it, and a sentence naming them is worth more than any heading. Most arguments about price begin with a document that quietly committed to neither position.
The exclusions are the point
Anyone can write down a number. What makes a quote useful six weeks later is the part that says what is not in it. Rubbish removal, making good, painting afterwards, scaffolding, permits, waiting time, parking — a client who was never told these are extra will genuinely believe they were included, and they will not be being difficult.
It is also why the expiry date is on this form. A price you gave in March is not a price you owe in September, but only if the document said so.
Be unmistakable about GST
If you are registered, quote so that the GST position cannot be misread — show it as a line, or state that the total includes it. The most avoidable dispute in small business is a quote that says one number and an invoice that later says that number plus ten per cent.
If you are not registered, do not show GST and do not imply it. You must register once your GST turnover reaches $75,000 — the GST calculator covers the thresholds and the two turnover tests.
A quote is not a tax invoice
They do different jobs and only one of them is regulated. A tax invoice has eight required items under section 29-70 of the GST Act; a quote has no statutory content requirements at all. So a quote with “tax invoice” written across the top is almost certainly not a valid tax invoice, and your client cannot safely claim a GST credit on it. Send the quote to win the work and the tax invoice when it is done.
